Quick Start Guide

Welcome to Levy Fleets! This comprehensive guide will walk you through everything you need to set up your first fleet and get your rental business operational. Whether you're managing electric scooters, e-bikes, or other micro-mobility vehicles, this guide has you covered.

Prerequisites

Before you begin, make sure you have:

  • A Levy Fleets account - You should have received an invitation email from your administrator or the Levy partnerships team
  • Login credentials - Your email address and password
  • IoT-enabled vehicles - At least one vehicle with a compatible IoT device (Segway, Okai, Queclink, ZIMO, or Omni)
  • IoT device information - IMEI numbers for your IoT devices
  • Service area defined - Know the geographic boundaries where you want to operate

New Partner?

If you're a new partner joining Levy Fleets, you'll receive a unique setup link to complete your partner registration, including banking and tax information. Contact partnerships@levyelectric.com if you haven't received your invitation.

Step 1: Log In to Your Dashboard

Accessing the Dashboard

  1. Navigate to your Levy Fleets dashboard URL
  2. Enter your email address and password
  3. Click Sign In

First-Time Login

If you're logging in for the first time via an invitation link, you'll be prompted to set your password and complete your profile before accessing the dashboard.

Forgot Your Password?

If you've forgotten your password:

  1. Click Forgot Password on the login page
  2. Enter your email address
  3. Check your inbox for a password reset link
  4. Click the link and set a new password (minimum 8 characters)
  5. Log in with your new credentials

Step 2: Understand Your Dashboard

Once logged in, you'll see the main dashboard with several key sections:

Key Metrics (Top Cards)

  • Rides (30 Days) - Total rides in the last 30 days with comparison to previous period
  • New Customers - Number of new customers acquired
  • Revenue (30 Days) - Total revenue generated
  • Active Vehicles - Percentage of your fleet currently available or in use

Dashboard Sections

  • Weekly Activity Chart - Visualizes ride patterns over the last 4 weeks
  • Fleet Status - Breakdown of vehicles by status (Available, In Use, Maintenance, Offline, etc.)
  • Recent Trips - List of the most recent 5 rides
  • Recent Alerts - System notifications and vehicle alerts

Quick Actions

Use the Quick Actions cards to jump directly to common tasks:

  • Add Vehicle - Start adding vehicles to your fleet
  • Create Zone - Define your service areas
  • Battery Report - Filter vehicles by low battery
  • View Rides - See complete ride history

Step 3: Configure Your Settings

Before adding vehicles, configure your basic settings by navigating to Settings in the sidebar.

Essential Settings to Configure

Payments Tab

  1. Payment System - Choose between "Post Paid" (customers pay after rides) or "Wallet" (customers maintain a balance)
  2. Top-Up Options - If using wallet system, configure top-up amounts (e.g., $10, $25 with 5% bonus, $50 with 12% bonus)
  3. Minimum Wallet Balance - Set the minimum balance required to start a ride (default: $5.00)

Vehicles Tab

  1. Minimum Battery - Set the minimum battery percentage for vehicles to be available (recommended: 20%)
  2. Speed Zone Limits - Configure slow zone speed limits (default: 10 km/h)
  3. Unit of Measure - Choose Miles or Kilometers for distance display
  4. IoT Passwords - Enter passwords for your IoT devices by manufacturer:
    • Okai: Default is "zk200"
    • Queclink: Default is "ks600"
    • Segway: Default is "0000"
    • Omni: Default is "0000"

Rides Tab

Configure ride behavior settings:

  1. Reservation Time - How long customers can reserve a vehicle (default: 5 minutes)
  2. Auto-Pause Settings - Configure automatic pause when vehicles are stationary
  3. Auto-End Settings - Set up automatic ride ending after extended inactivity
  4. Automatic Refunds - Enable refunds for very short rides (under 3 minutes, less than 200 meters)

IoT Passwords

Make sure to enter the correct IoT passwords for your device manufacturer. Incorrect passwords will prevent lock/unlock commands from working.

Step 4: Add Your First Vehicle

Navigate to Vehicles in the sidebar to start building your fleet.

Option A: Add a Single Vehicle

  1. Click the Add Vehicle button
  2. Fill in the required information:
    • Vehicle Number/ID - A unique identifier for your vehicle (e.g., "LV-001")
    • IoT IMEI - The IMEI number of the IoT device installed on the vehicle
    • Vehicle Model - Select from your available vehicle models
    • VIN (optional) - Vehicle Identification Number
  3. Click Save

Enter Vehicle Number

Choose a unique identifier that's easy to remember and matches any physical labels on the vehicle (e.g., "NYC-001", "SCOOT-101").

Enter IoT IMEI

Find the IMEI number on your IoT device or in your device documentation. This 15-digit number uniquely identifies the tracking device.

Select Vehicle Model

Choose the vehicle model from the dropdown. If your model isn't listed, you may need to create it first in Vehicle Models.

Set Initial Status

New vehicles default to "Offline" status. Once configured and tested, change the status to "Available" to make them rentable.

Option B: Bulk Import via CSV

For adding multiple vehicles at once:

  1. Click the Import button (or CSV icon)
  2. Prepare your CSV file with the following columns:
    • vehicle_number (required)
    • iot_imei
    • vehicle_model_id
    • vin
  3. Select and upload your CSV file
  4. Review any validation errors
  5. Confirm the import

Bulk Import

CSV import is recommended when adding 5+ vehicles at once. Make sure your IMEI numbers are correct - they cannot be easily changed later.

Step 5: Set Up Vehicle Models and Pricing

Create Vehicle Models

If you have different types of vehicles (e.g., scooters, e-bikes), set up vehicle models:

  1. Navigate to Vehicle Models in the sidebar
  2. Click Add Model
  3. Enter:
    • Model Name (e.g., "Segway Max", "Okai ES200")
    • Vehicle Type (scooter, bike, etc.)
    • Icon (emoji for quick identification)
  4. Save the model

Configure Pricing

Navigate to Pricing in the sidebar to set up your pricing structure.

Creating Pricing Tiers

For more complex pricing (e.g., lower rates for longer rides):

  1. Navigate to Pricing
  2. Select a vehicle model
  3. Add pricing tiers:
    • 0-30 minutes: $0.39/minute
    • 31-60 minutes: $0.30/minute
    • 61+ minutes: $0.20/minute

Pricing by Model

You can set different pricing for each vehicle model. This is useful if you have premium vehicles with higher rates.

Step 6: Create Your Service Zones

Zones define where your vehicles can operate. Navigate to Zones in the sidebar.

Creating Your First Zone

Click Add Zone

Click the "Add Zone" button to start drawing a new zone.

Draw the Boundary

Use the map drawing tools to outline your zone. Click points to create a polygon shape.

Configure Zone Settings

  • Name your zone (e.g., "Downtown Service Area")
  • Select the zone type
  • For speed zones, set the speed limit (km/h)
  • For parking zones, optionally set reward points

Save the Zone

Review your zone boundaries and click Save. The zone is immediately active.

Geofencing

Zone boundaries are enforced in real-time. When a rider enters a speed limit zone, the vehicle automatically reduces its maximum speed. When entering a no-go zone, the vehicle's throttle is disabled.

Zone Best Practices

  • Service Area: Create one large zone covering your entire operating region
  • Parking Zones: Mark specific locations where customers should end rides (near transit, commercial areas)
  • No-Go Zones: Mark dangerous areas (highways, private property, construction sites)
  • Speed Limit Zones: Mark pedestrian-heavy areas, school zones, or narrow pathways

Step 7: Test Your Setup

Before going live, test your configuration:

Vehicle Communication Test

  1. Go to Vehicles and select a vehicle
  2. On the vehicle detail page, try:
    • Lock - Should engage the wheel lock
    • Unlock - Should release the wheel lock
    • Sound - Should play an alert sound on the vehicle
  3. Verify the vehicle's battery level and location are updating

Zone Test

  1. Use the vehicle map view to confirm your zones are displayed correctly
  2. Verify zone boundaries match your intended coverage
  3. Test zone enforcement by moving a vehicle into a speed limit zone (speed should reduce)

Pricing Test

  1. Start a test ride on a vehicle
  2. Monitor the ride in Rides > Active Rides
  3. End the ride and verify:
    • Unlock fee is applied correctly
    • Per-minute rate is calculated properly
    • Total matches your pricing configuration

Step 8: Invite Your Team

If you have team members who need dashboard access:

  1. Go to Settings > Team tab
  2. Click Invite Team Member
  3. Enter their email address
  4. Select their role:
    • Admin - Full access including team management
    • Fleet Manager - Manage vehicles, zones, and operations
    • Customer Support - Handle customer issues and refunds
    • Analyst - View reports and analytics (read-only)
    • Service Technician - Update vehicle status and maintenance

The team member will receive an email invitation to create their account.

Step 9: Go Live!

Once everything is configured and tested:

Activate Your Vehicles

  1. Go to Vehicles
  2. Select vehicles that are ready for operation
  3. Change their status from Offline to Available
  4. Vehicles will now appear in the customer app

Monitor Operations

With your fleet live, use these tools to monitor:

  • Dashboard - Overview of key metrics and recent activity
  • Rides - Real-time view of active rides
  • Vehicles - Map view showing all vehicle locations and statuses
  • Alerts - Notifications about low battery, maintenance needs, or issues

Your fleet is now live and ready to serve customers. The dashboard will update in real-time as rides occur. Monitor your metrics daily and adjust pricing or zones based on usage patterns.

Troubleshooting Common Issues

Vehicle Won't Lock/Unlock

  • Verify the correct IoT password is set in Settings > Vehicles
  • Check that the vehicle has recent communication (last signal within 10 minutes)
  • Confirm the IoT device is properly installed and powered

Vehicle Shows as Offline

  • Check the IoT device battery level
  • Verify cellular connectivity in the vehicle's location
  • Ensure the IoT device SIM card is active

Pricing Not Calculating Correctly

  • Verify pricing is configured for the correct vehicle model
  • Check that pricing is marked as "Active"
  • Review the pricing tier settings for gaps

Zone Enforcement Not Working

  • Verify zone boundaries are properly closed (complete polygon)
  • Check that the zone type is correct
  • Ensure the vehicle's IoT device supports speed limiting
