Team Management

Team management allows you to invite team members, assign roles, and control access to different features of the dashboard.

Navigation

Access Team Management from Dashboard > Settings > Team.

Inviting Team Members

Send Invitation

  1. Navigate to Settings > Team
  2. Click Invite Member
  3. Enter email address
  4. Select role
  5. Choose permissions
  6. Click Send Invite

Invitation Email

Invited users receive:

  • Invitation link
  • Account setup instructions
  • Role information
  • Expiration notice (7 days)

Pending Invitations

View and manage pending invites:

  • See all pending invitations
  • Resend expired invitations
  • Cancel pending invitations

User Roles

Owner

The account owner:

  • One owner per account
  • Cannot be deleted
  • Full permissions
  • Billing access
  • Can transfer ownership

Admin

Administrative users:

  • Full operational access
  • User management
  • Settings access
  • No billing access

Manager

Operational managers:

  • Manage rides and vehicles
  • Customer support access
  • Limited settings access
  • Cannot manage users

Operator

Day-to-day operators:

  • View and manage rides
  • Basic vehicle operations
  • Customer lookup
  • No settings access

Viewer

Read-only access:

  • View all data
  • Cannot modify anything
  • Reporting access
  • No operational actions

Custom Roles

Creating Custom Roles

  1. Go to Settings > Team > Roles
  2. Click Create Role
  3. Name the role
  4. Select permissions
  5. Save

Support Agent:

  • Customers: View, Edit
  • Rides: View, Refund

Fleet Technician:

Managing Users

Viewing Team Members

The Team page shows:

  • All active users
  • Role assignments
  • Last login
  • Status

User Details

Click on a user to see:

  • Profile information
  • Role and permissions
  • Activity history
  • Login history

Editing Users

  1. Click on user
  2. Modify role or permissions
  3. Save changes

Deactivating Users

To temporarily disable:

  1. Click on user
  2. Click Deactivate
  3. User cannot login

Account remains for reactivation.

Removing Users

To permanently remove:

  1. Click on user
  2. Click Remove
  3. Confirm deletion

User's actions remain in audit log.

Subaccount Access

Assigning Subaccounts

Limit users to specific locations:

  1. Edit user
  2. Select Subaccount Access
  3. Choose allowed subaccounts
  4. Save

Subaccount Roles

Different roles per subaccount:

  • Manager of Location A
  • Viewer of Location B
  • No access to Location C

Security

Password Requirements

Set team password policy:

  • Minimum 8 characters
  • Require uppercase
  • Require numbers
  • Require special characters

Two-Factor Authentication

Enforce 2FA for team:

  • Require for all users
  • Require for specific roles
  • Optional per user

Session Management

Monitor logins:

  • Successful logins
  • Failed attempts
  • Device information
  • Location data

Get notified of:

  • New user logins
  • Failed login attempts
  • Permission changes
  • Suspicious activity

Field Staff

Mobile-Only Users

For field technicians:

  • App access only
  • No dashboard access
  • Reduced permissions
  • Lower license cost

Role Assignment

  • Give minimum necessary access
  • Use roles consistently
  • Review permissions quarterly
  • Document custom roles

Onboarding

  • Provide training materials
  • Start with lower permissions
  • Gradually increase access
  • Monitor initial activity

Offboarding

  • Immediately deactivate departing users
  • Review their recent activity
  • Transfer ownership if needed
  • Update shared credentials

Security

  • Enforce strong passwords
  • Require 2FA for admins
  • Review access regularly
  • Monitor audit logs

Troubleshooting

User Can't Login

  1. Check account is active
  2. Verify email is correct
  3. Reset password
  4. Check IP restrictions

Missing Permissions

  1. Review user's role
  2. Check subaccount access
  3. Verify permission settings
  4. Try logging out and in

Invitation Not Received

  1. Check spam folder
  2. Verify email address
  3. Resend invitation
  4. Check email settings
