Complete guide to managing IoT devices in Levy Fleets - view device status, link to vehicles, monitor telemetry, and troubleshoot connectivity issues.

IoT Device Overview

The IoT Devices page in Levy Fleets provides comprehensive management of all tracking and control devices installed in your fleet vehicles. This guide covers everything you need to know about viewing, managing, and troubleshooting your IoT devices.

What is an IoT Device?

IoT (Internet of Things) devices are small hardware modules installed in vehicles that provide GPS tracking, remote lock/unlock capability, telemetry data collection, and real-time communication with the Levy Fleets platform.

Accessing IoT Device Management

Navigate to IoT Devices in the sidebar to access the device management dashboard. This page displays all IoT devices registered in your system with their current status and configuration.

Understanding the IoT Dashboard

Dashboard Overview Cards

At the top of the IoT Devices page, you'll see summary cards showing key metrics:

Device List View

The main device list displays all your IoT devices with the following information:

  • IMEI - The unique 15-digit identifier for each device
  • Type - The IoT manufacturer/protocol (Segway, OKAI, Queclink, ZIMO, etc.)
  • Status - Online status indicator (green = online, gray = offline)
  • Linked Vehicle - The vehicle number this device is connected to
  • Battery - Current battery level (if reported by the device)
  • Last Seen - When the device last communicated with the server
  • Subaccount - Which subaccount/location the device belongs to

Online Status Calculation

A device is considered online if it has sent telemetry data within the last 5 minutes. The status is calculated in real-time based on the most recent heartbeat or location report from the device.

Device Status Badges

Devices can have the following status badges indicating their operational state:

Activation Status

Separate from device status, the activation status tracks the device's service state:

Adding IoT Devices

Adding a Single Device

  1. Click the Add Device button in the top right corner

  2. Fill in the required information:

    • IMEI (required) - The 15-digit unique device identifier
    • Subaccount (required) - Which location/operator this device belongs to
    • IoT Type (required) - Select the device manufacturer
    • ICCID (optional) - The SIM card identifier
    • IoT Model (optional) - Specific model number
    • Owner Name (optional) - Person responsible for the device
    • Owner Email (optional) - Contact email
    • Notes (optional) - Any additional information
  3. Click Save to create the device

IMEI Must Be Unique

Each IMEI can only be registered once in the system. If you attempt to add a device with an IMEI that already exists, you'll receive an error.

Bulk Import

For adding multiple devices at once, use the CSV import feature. See IoT Device Import for detailed instructions.

Download CSV Template

To help format your import file correctly:

  1. Click the Download Template button in the import dialog
  2. The template includes all supported columns with example data
  3. Fill in your device information following the template format
  4. Save as CSV with semicolon delimiters

Linking Devices to Vehicles

IoT devices must be linked to vehicles to enable tracking and control. This connection is made through the IMEI field on both the device and vehicle records.

How Linking Works

  1. The IoT device's IMEI is stored in the device registry
  2. The vehicle's iot_imei field references the device's IMEI
  3. When telemetry arrives, the system looks up the vehicle by IMEI
  4. All location, battery, and status updates are associated with that vehicle

Linking a Device

  1. From the IoT Devices list, click on a device to view its details
  2. Click Link to Vehicle or edit the device
  3. Select the vehicle from the dropdown
  4. Save the changes

Alternatively, you can link from the vehicle side:

  1. Go to Vehicles and select a vehicle
  2. Edit the vehicle details
  3. Enter the IMEI in the IoT IMEI field
  4. Save the vehicle

Automatic Linking

When importing vehicles via CSV with IMEI values, the system automatically creates the link between vehicle and IoT device.

Viewing Device Details

Click on any device in the list to view its full details. The device detail page shows:

Device Information

  • IMEI - Device identifier
  • ICCID - SIM card number
  • IoT Type - Manufacturer/protocol
  • IoT Model - Specific model
  • Firmware Version - Current firmware (if reported)
  • Linked Vehicle - Associated vehicle with link to vehicle details

Status Information

  • Online Status - Current online/offline state
  • Last Active - Last communication timestamp
  • Activation Status - Pending, Active, or Suspended
  • Battery Level - Current battery percentage

Activity History

  • Added On - When the device was registered
  • Activation Date - When the device became active
  • Suspension Date - If/when the device was suspended

Financial Information

  • Total Rides - Number of rides on vehicles with this device
  • Current Month Trips - Trips this month
  • Current Month Revenue - Revenue generated this month
  • Previous Month Revenue - Last month's revenue

Location

If the device is linked to a vehicle with GPS coordinates, you'll see:

  • Current latitude/longitude
  • Last location update timestamp
  • Map preview of the vehicle's position

Location History Map

The device detail page includes an interactive Location History Map that displays:

  • Current Position - The vehicle's most recent GPS coordinates
  • Historical Trail - Path of recent GPS points showing vehicle movement
  • Timestamp Display - Hover over points to see when each location was recorded
  • Zoom Controls - Navigate and zoom to view different areas

Location History Retention

Location history is retained based on your account's data retention settings. Contact support for extended retention options.

Unmatched Devices

When an IoT device sends telemetry but isn't registered in your system, it's recorded as an "unmatched device." This happens when:

  • A new device is installed but not yet added to the system
  • An IMEI was entered incorrectly during registration
  • A device was configured with the wrong server settings

Viewing Unmatched Devices

  1. Click the Unmatched Devices button in the toolbar
  2. View the list of unrecognized IMEIs
  3. For each unmatched device, you'll see:
    • IMEI
    • Protocol (how the device communicated)
    • First seen timestamp
    • Last seen timestamp
    • Message count

Registering an Unmatched Device

To add an unmatched device to your system:

  1. Click on the unmatched device entry
  2. Click Register Device
  3. Fill in the required fields (subaccount, IoT type, etc.)
  4. Save the device

Once registered, future telemetry from that IMEI will be properly associated with your fleet.

Automatic Cleanup

When you register a previously unmatched device, the system automatically cleans up the unmatched record.

Filtering and Searching

Quick Filters

  • All Devices - Show all registered devices
  • Unlinked Only - Show only devices not connected to vehicles
  • Online - Show only currently online devices
  • Offline - Show only offline devices

Use the search bar to find devices by:

  • IMEI (partial match supported)
  • Vehicle number
  • Device notes

Subaccount Filter

If you manage multiple locations/subaccounts, use the subaccount dropdown to filter devices by location.

Editing Devices

To modify an IoT device:

  1. Click on the device in the list
  2. Click the Edit button
  3. Update the desired fields:
    • ICCID
    • IoT Model
    • Owner information
    • Notes
  4. Click Save

IMEI Cannot Be Changed

The IMEI field cannot be modified after creation. If an IMEI was entered incorrectly, you must delete the device and create a new one.

Bulk Operations

The IoT Devices page supports bulk operations for managing multiple devices efficiently.

Bulk Edit

To update multiple devices at once:

  1. Select multiple devices using the checkboxes
  2. Click the Bulk Edit button in the toolbar
  3. Choose which field to update:
    • IoT Type - Change device manufacturer/protocol
    • Subaccount - Move devices to a different location
    • Activation Status - Update activation state
    • Notes - Add or update device notes
  4. Enter the new value
  5. Click Apply to update all selected devices

Bulk Edit Use Cases

Common bulk edit scenarios include reassigning devices between subaccounts when vehicles are relocated, or updating activation status when commissioning new equipment.

Bulk Delete

To remove multiple IoT devices:

  1. Select the devices you want to delete using checkboxes
  2. Click the Delete button in the toolbar
  3. Review the list of devices to be deleted
  4. Confirm the deletion

Note: Bulk deleting devices:

  • Removes devices from the IoT devices registry
  • Does NOT delete associated telemetry history
  • Does NOT modify the linked vehicles
  • Uses soft delete (can be recovered if needed)

Deleting a Single Device

To remove a single IoT device:

  1. Click on the device to view its details
  2. Click the Delete button
  3. Confirm the deletion

Telemetry Data

IoT devices continuously report telemetry data to the platform. This data includes:

Location Data

  • GPS coordinates (latitude/longitude)
  • Speed
  • Heading/direction
  • Altitude (some devices)
  • GPS accuracy

Battery Information

  • Main battery percentage
  • Main battery voltage
  • IoT module battery (if separate)
  • Charging status

Vehicle Status

  • Lock/unlock state
  • Power on/off
  • Ignition status
  • Odometer reading

Environmental Data

  • Ambient temperature
  • Signal strength (cellular)

Event Data

  • Lock/unlock events
  • Alarms (tampering, movement)
  • Power events
  • Error codes

Troubleshooting

Device Shows Offline

If a device appears offline:

  1. Check physical installation - Ensure the device is properly mounted and powered
  2. Verify SIM card - Confirm the SIM is active and has data coverage
  3. Check server configuration - Verify the device is pointing to the correct server IP/port
  4. Review last communication - Check when the device last reported
  5. Power cycle the device - Turn the vehicle off and on to restart the IoT module

Device Not Receiving Commands

If lock/unlock commands aren't working:

  1. Verify IoT password - Go to Settings > Vehicles and check the password for your device type
  2. Check online status - Commands can only be sent to online devices
  3. Review command history - Check if commands are being sent but failing
  4. Test with sound command - Try the "sound" command to verify basic communication

Telemetry Not Updating

If vehicle data isn't refreshing:

  1. Check device battery - Low IoT battery can cause intermittent communication
  2. Verify GPS signal - The device may be in an area with poor GPS reception
  3. Review heartbeat settings - Some devices have configurable reporting intervals
  4. Check for firmware issues - Outdated firmware can cause reporting problems

Wrong Location Data

If GPS coordinates are incorrect:

  1. Wait for GPS fix - New devices may need time to acquire satellites
  2. Check for GPS obstructions - Indoor or underground parking can affect accuracy
  3. Verify device installation - GPS antenna should have clear sky view
  4. Review historical data - Check if the issue is consistent or intermittent

Best Practices

Device Registration

  • Register devices before installing in vehicles
  • Use consistent naming conventions for notes and owner info
  • Keep ICCID records for SIM management
  • Link devices to vehicles immediately after installation

Monitoring

  • Check the unmatched devices list regularly
  • Review offline devices weekly
  • Monitor battery levels to prevent communication issues
  • Set up alerts for critical device events

Security

  • Use strong IoT passwords (change from defaults)
  • Regularly audit device access
  • Monitor for unauthorized device registrations
  • Keep firmware updated when available
